Maroon Hill Estate Terms and Conditions

Our Terms & Conditions have been set out to ensure all guests enjoy a safe and enjoyable time whilst visiting Maroon Hill Estate. Please read this information carefully as it contains important information about weddings and events at Maroon Hill Estate.

  1. DEFINITIONS For the purpose of these terms and conditions, the following definitions apply:

  2. ‘Business Day’ means any day from Monday to Friday inclusive, except public holidays.

  3. Estate’ means Maroon Hill Estate and its managers, supervisors and employees.

  4. ‘Estate Premises’ means the premises situated at Maroon Hill Estate, 2554 Boonah Rathdowney road, Maroon QLD 4310.

  5. Guest’ means any persons invited onto the estate during the event booking by the client including vendors.

  6. ‘Client’ means the persons hosting their event at Maroon Hill Estate.

  7. BOOKINGS

  8. A tentative booking will be held for seven (7) days, following a written request reserving the date. This will automatically lapse should the booking deposit not be paid and the signed booking form is not returned to Maroon Hill Estate within this period.

  9. A non refundable booking deposit of $2,000 + GST and a signed booking form is required for a booking to be reserved and confirmed. In paying the booking deposit, you confirm that you have read, fully understood and accepted the terms and conditions outlined in this document. Exceptions and extensions may apply, in writing at management’s discretion.

  10. Rates and availability are subject to change unless an approved “Booking Form” and Deposit have been received.

  11. The Estate has the right to refuse a booking and refund any payments at its discretion.

  12. All quotes are valid for 30 days from date of issue.

  13. SCHEDULE OF PAYMENTS

  14. A $2,000 + GST booking deposit is required within seven (7) days of booking. The deposit is to be paid with terms and conditions signed and returned before your booking is guaranteed.

  15. Twelve (12) months prior to your event date, 25% of your Maroon Hill Estate invoice is required to be paid.

  16. Six (6) months prior to your event date, 50% of your Maroon Hill Estate invoice is required to be paid.

  17. Three (3) months prior to your event date, 75% of your Maroon Hill Estate invoice is required to be paid.

  18. Thirty (30) days prior to your event date, 100% of your Maroon Hill Estate invoice is required to be paid.

  19. Security Bond: A $1,000 + GST security bond is required to be paid thirty (30) days prior to your wedding or event date.

  20. SECURITY BOND

  21. A$1,000 + GST security bond is required to be paid thirty (30) days prior to your event date.

  22. Bond payment will be refunded within fourteen (14) days of departure less any deductions for extra services, damages, theft, stains or extra cleaning incurred on the Estate Premises. If the damages exceed the bond amount, the client will be invoiced and must pay the total amount within fourteen (14) days.

  23. Bond will also be forfeited in full should any guests not scheduled to stay on site, fail to vacate the property in a reasonable time frame as directed by the Venue Manager after the scheduled event end time, due to the being intoxicated and not able to safely drive from the premises or arrange suitable transport in time.

  24. This includes guests who try to sleep/camp in their car.

  25. Event guests are to be informed this is not an option.

  26. Venue Manager will remain onsite until all guests have departed safely.

  27. Breakages, damage and losses to the property are to be reported to the Estate at the time of the occurrence.

  28. EVENT CANCELLATION/RESCHEDULE OF EVENT DATE

  29. All cancellations are required in writing to enquiries@maroonhillestate.com

  30. If you request to reschedule your event date to a future year, an admin fee of $500 + GST, along with a event package upgrade fee may be applicable.

  31. If you downgrade your event package, a $500 + GST admin fee may be applicable.

  32. If you request to move your event date to a later date, the refund cancellation policy is based on your originally booked event date.

  33. Bookings cancelled prior to ten (10) months of your event date receive a full refund less the initial non refundable booking deposit.

  34. If you cancel within ten (10) months of your event date or if the full booking amount is not paid by the due date, the booking deposit plus any subsequent payments are not refundable unless the Estate is rebooked for an event for the entire period of the booking. If the Estate is rebooked for an event an additional $500 + GST administration fee will apply.

  35. ON-DAY COORDINATOR

  36. All independent Event Coordinators are welcome to undertake work at Maroon Hill Estate and you are not obligated to use your in house Event Coordinator. For packages that include our complementary in house On-Day Coordinator, no refunds will be made, should you choose to engage a different On-Day Coordinator for your event.

  37. Unless agreed otherwise in writing, an On-Day Coordinator is required for all events over 30 guests to ensure your day runs as planned and to support the venue manager. A Coordinator is not required for Ceremony only and Elopement packages.

  38. The On-Day Coordinator is to be engaged by you at least one (1) month prior to your event.

  39. The On-Day Coordinator is to be available to assist in Bump-In and Bump-Out of Suppliers and Vendors.

  40. The On-Day Coordinator must be present on the Estate Premises until your event has finished and guests have departed or as agreed in writing with the event venue manager.

  41. The On-Day Coordinator cannot be a guest at the event and must be engaged solely to undertake event on-day coordination duties.

  42. The On-Day Coordinator must hold a current ABN plus provide evidence of adequate public liability insurance.

  43. MUSIC

  44. The Estate venue has a noise limit of 95 decibels.

  45. Please inform DJ/Band of limit at time of booking.

  46. No ceremonial drums are allowed.

  47. Music levels will be tested by Estate staff for compliance.

  48. Any outdoor amplified music speakers are to be pointed in an easterly direction.

  49. Any live drumming performances are not approved unless otherwise agreed in writing by the Estate.

  50. In cooler months, the noise limit may be reduced at the discretion of the venue manager due to noise travelling further in colder weather.

  51. MUSIC/NOISE CURFEW

  52. Music must be switched off completely by 11:00PM

  53. The Estate is zoned rural/residential. Curfews/noise limits must be adhered to as per local Council Regulations.

  54. Any music played will be monitored by Estate managers to ensure it complies with the decibels noise limit. If noise is exceeded, the Venue Manager will ensure it is reduced to a level where it complies.

  55. ARRIVAL, DEPARTURE & CURFEW

  56. Event Access: Access to the Estate from 12:00 pm on the day of your event (unless pre-wedding accommodation is booked)

  57. Pack-down & Departure

  58. All non-accommodation guests, hired items, personal belongings, vehicles, and vendors must be off site by:

  59. Weekend/Weekday Full Package: 11:30 pm

  60. Elopement Package: 9:30 pm

  61. Ceremony-only Package: 5:00 pm

  62. If you have booked wedding night accommodation, all guests and vendors must still depart by the event end time. Event-related items must be removed prior to your accommodation check-out at 10:00 am. Allowances can be made for vendor early access or late pack down pending Estate approval. Get in touch with the Estate for approval.

  63. All guests not staying on the Estate Premises are to depart the property by 11:30PM or by your scheduled event end time. Event times will depend on your package type.

  64. Security Bond will be forfeited in full should any guests not scheduled to stay on site, fail to vacate the property in a reasonable time frame as directed by the Venue Manager after the event end, due to the being intoxicated and not able to safely drive from the premises or arrange suitable transport in time.

  65. SERVICE OF ALCOHOL

  66. All alcohol must be served by RSA accredited bar staff, who are not guests.

  67. All drinks bottles and glasses must be cleared by the staff serving alcohol at the end of the evening.

  68. No additional Alcohol is to be brought to the event by event guests.

  69. ESTATE FURNITURE & EQUIPMENT

  70. White cross back chairs and the bench seats provided can be used indoor or outdoor.

  71. Timber tables are not to be used outside unless they are undercover of a structure, out of the elements. Should you wish to do this, the moving of these tables into location is your responsibility, only once the structure is erected, and must be placed back indoors prior to the structure being disassembled. If you wish to have a reception under the stars, please hire weatherproof tables.

  72. A cold room is available for use by guests and is to remain in the parked location.

  73. The Estate reserves the right to substitute or replace furniture at its discretion.

  74. CEREMONY FURNITURE SELECTION/SETUP:

  75. 6 weeks prior to your wedding day, you will be sent a furniture selection form to fill out to confirm your ceremony and/or reception set up. This form is due 30 days prior to your wedding, along with a timeline/run sheet and floor/seating plan.

  76. White Chairs: If you’ve requested our white cross-back chairs for your ceremony, we have 120 available which we can provide at no extra cost. These, however, require you or your vendor team to set up before your ceremony. Please note that these are the same chairs we provide for your reception and as we have 120 total chairs, you may need to arrange for them to be moved from your ceremony to reception location. Chairs will be left indoors for you. Chairs are not available for elopement or ceremony only bookings.

  77. Bench seats: If you’ve selected white bench seats instead, these will be set up at your ceremony location for you before you arrive.

  78. Arbour: if you have requested our arbour, this will be left in the requested ceremony location for you. We also leave a hammer and pegs indoors for you to secure the arbour, in its perfect place or your venue manager/coordinator can do this for you.

  79. Signing Table: this will be left indoors until the day of wedding, to be put in place on wedding day by yourself or the venue manager/coordinator.

  80. RECEPTION FURNITURE SETUP:

  81. Indoor Reception Furniture: All indoor reception furniture will be set up for you prior to your accommodation or event check in time. This will be set up as per your final floor plan provided to us as part of the furniture form due 30 days prior to the wedding/event.

  82. Pop up Bar: For those who have hired our pop up bar, it will be left set up in the alfresco area for you to position in place. It is suitable for outdoor use, however if strong winds, it needs to be weighted to the ground.

  83. Cold Room: The cold room will be connected but turned off on arrival. Turn it on at the powerpoint when needed. It is preset to 2°C. Turn it off after use.

  84. Firewood: If you have added the exterior fire pit to your package, Firewood by the fire pit is provided. It will not be restocked - we provide ample. Firewood must remain on the premises and leftover wood is not to be removed from site. If you have not added the exterior fire-pit to your package, please don’t use the firewood for it.

  85. ACCESS TO LEFT WING OF HOUSE

  86. Event guests are able to use the function hall and toilets for weddings and events. The left wing of the building is only accessible by the 8 named guests who are accommodated on site. No other persons are to access the left wing of the building during the duration of the booking. The barn door is to remain closed during event hours.

  87. Some event packages don’t include access to the left wing of the building/accommodation, if this is the case, the barn door will remain locked during your event and no guests are to access it.

  88. CANDLES

  89. If tables runners or tablecloths aren’t being used, candles must be enclosed in vessels or glass sleeves.

  90. Excess cleaning charge due to wax on furniture will be deducted from the bond.

  91. We would prefer all candles in vessels or glass sleeves.

  92. CONFETTI

  93. Only natural rose petals or natural dried flower confetti is to be used inside the function hall - bio confetti or any other type of confetti can become a slip hazard and cannot be used inside.

  94. Biodegradable confetti or natural rose petals only to be used outside on the Estate Premises.

  95. SPARKLERS/FIREWORKS

  96. Hot & Cold sparklers are not permitted inside the reception hall, accommodation or under any exterior roofed structure.

  97. Sparklers are only to be used on grassed areas.

  98. Sparklers are not permitted anywhere on the premises during a fire ban.

  99. Fireworks are illegal and not permitted under any circumstances.

  100. FIREPIT

  101. If you have added the exterior fire-pit to your package, we provide enough firewood for the outdoor fire pit for one night. This wood is located at the outdoor fire pit. Remaining firewood is not to be removed from the premises.

  102. Wood for the indoor fire is located at the front of the house and is to only be used in the indoor fireplace.

  103. Indoor firewood can be used in the indoor fireplace for the length of accommodation (if booked).

  104. Guests are not to use wood from the indoor stockpile for the outdoor fire pit. A fee will be charged if excess wood is used.

  105. Guests are welcome to bring extra firewood, though we believe we provide enough.

  106. Outdoor fire pit use will be restricted under local fire bans. Clients will be notified if there are any fire bans in place.

  107. The only approved outdoor fire pit area is the current permanent fire pit structure, any additional portable fire pits are to be agreed upon in writing in advance of your event. This includes Catering companies who cook over fire.

  108. The provided fire pit drum is not to be moved from the outdoor fire pit area.

  109. GENERATOR

  110. Depending on the size and type of any wedding or event, a generator provided by The Estate may be used.

  111. You are required to notify the Estate if any vendors require electricity at any ceremony location.

  112. The Estate staff will monitor vendor electricity supply and ensure the generators have sufficient fuel throughout the day.

  113. SEPTIC WASTE

  114. The Estate provides three (3) unisex toilets within the venue structure.

  115. You will be charged for damage or servicing as a result of you or event guests flushing in-organic matter or sanitary items down any toilet.

  116. Bins are provided for sanitary and other waste.

  117. CLEANING & RUBBISH REMOVAL

  118. General cleaning of the venue is included in the hire fee upon checkout. General cleaning does not include removing of bodily fluids from the reception centre, house, furniture or linen. This includes; but is not limited to, vomit, faeces, blood, tanning products or hair dye.

  119. All rubbish from the event within the house and around the property must be placed in the wheelie bins or skip bin provided before leaving the venue.

  120. At the Estates discretion, if rubbish is not put in bins and the property requires extra cleaning from the event, you will be charged and the amount deducted from your bond.

  121. The Estate waste removal is included in our package fee.

  122. If these bins are overflowing, an additional waste removal charge will be deducted from your bond.

  123. ESTATE GROUNDS

  124. Driving on the grass is permitted only for catering or bar floats under the direction of the Venue Manager. In wet conditions, the location of vendors who usually park/drive on the grass may be altered to avoid damage caused from wheel ruts and avoid vendors getting bogged. This includes but is not limited to delivery vehicles, catering, bar, horse and carriage, bridal/groomsmen ceremony vehicles and guest busses.

  125. Any vendor setting up a semi-permanent structure such as a tipi or marquee is only to drive on the grass in absolute dry conditions. If conditions are wet, or have been recently wet, vehicles/vendors are prohibited from driving on any grass as it will cause damage to the venue grass affecting future scheduled events.

  126. Under no circumstances are guests or suppliers to drive on the two (2) flat grassed ceremony areas. 

  127. All vendors will be escorted by the Venue Manager or your Coordinator on event day. Any deliveries pre-event day are to be in touch with the venue manager so drivers have clear instruction on where to drive. 

  128. Any damage to grassed ceremony sites and areas such as wheel tracks/ruts will be deducted from your bond. This includes damage from your vendors/guests.

  129. The grounds and gardens will alter their appearance in various seasons and weather patterns. All care is taken to maintain them to an appropriate level. The information provided on advertising material, website, over the phone or in person is up to date at the time of compilation, however as this information is subject to change, we cannot take responsibility for any inaccuracy, or the description contained in separate publications. We endeavour to provide accurate information about the property.

  130. The Estate is always looking to improve spaces and structures within the Estate and may make changes to the grounds, structures or infrastructure at anytime.

  131. No refunds will be given for change of mind, and will be considered a cancellation if you, the Client, choose to depart earlier than the set departure date.

  132. Guests do not have access to any fenced paddock.

  133. Please note, most fences are electric.

  134. ACCOMMODATION

  135. Maroon Hill estate provides accommodations for up to 8 guests as an add on in some packages.

  136. No more than 8 guests are to stay at the accommodation unless agreed otherwise in writing.

  137. Check-in is at 2:00 pm on the afternoon your stay begins, Check-out: 10:00 am on the morning your stay ends. Any alteration to be agreed in writing. If you have not checked out by 10.00am and the Estate cleaner is delayed due to your delay departing, you will forfeit part or all of your bond.

  138. No parties or gatherings are permitted unless approved and agreed in writing by the Estate.

  139. ACCOMMODATION RULES:

  140. Windows and Doors: Ensure all windows and doors are closed during prolonged absences to prevent rain entering the house. The house has no eaves to shield open windows.

  141. No Smoking: Smoking is prohibited inside and near open windows.

  142. Restricted Areas: The shed and its surroundings are off-limits to guests.

  143. Vehicle Use: Keep vehicles on the driveway or carpark. No vehicles/vendors are permitted on the grass ceremony pads. All vendors are to be escorted to their set up location without driving on the 2 flat ceremony pads. (one in the circle of trees and one between the circle of trees and the cocktail area.

  144. Music: Before and after the wedding day, outdoor music is not allowed between 10 PM and 10 AM. Indoor music during this time is permitted only with windows and doors closed to prevent sound travel.

  145. Wedding day music follows your Terms & Conditions.

  146. Septic System: The eco-friendly septic system is sensitive to harsh chemicals. Only provided cleaning products should be used. Do not flush baby wipes or sanitary items.

  147. Water Usage: The house runs on tank water—please conserve water. Our hot water is heated by gas, if by chance you run out of gas, please contact us for instructions on how to switch to the other bottle.

  148. Furniture & Linens:

  149. Do not take blankets or throws outside. Additional cleaning fees apply if this occurs.

  150. Stains on bedding or furniture may incur cleaning/replacement fees. Notify us before check-out if this happens.

  151. Firewood: If you have added the exterior fire pit to your package, Firewood by the fire pit is provided. It will not be restocked - we provide ample. Firewood must remain on the premises and leftover wood is not to be removed from site. If you have not added the exterior fire-pit to your package, please don’t use the firewood for it.

  152. Outdoor Umbrellas: Set up/pack down by the Venue Manager on the wedding day. Do not leave umbrellas erected overnight.

  153. Festoon Lighting: Limit use of cocktail area festoon lighting to your wedding night to respect neighbours.

  154. Critters: Keep screen doors shut to prevent critters from entering.

  155. Electrical System: The property runs on solar panels, batteries, and a backup generator. Contact us for power issues. EV charging requires prior approval and incurs additional costs. Do not plug an Electric Vehicle into the system without prior approval.

  156. Guests and Camping: Only approved guests may stay. No camping is permitted by any guests.

  157. Pre/Post-Wedding Gatherings: All pre and post wedding gatherings must be pre-approved in writing.

  158. Exploring the Property: Feel free to explore but avoid long grass. First aid and snake bite kits are under the sink by the washing machine. An AED is located on the white cupboard behind the indoor fireplace.

  159. Electric Fences: Please assume that all fences are electric and be cautious around electric fences. Keep children away.

  160. Coffee: A Nespresso Vertuo Coffee Machine is provided with 10 complimentary pods. Vertuo pods can be purchased directly from Nespresso. Additional pods can be prearranged by us at an extra cost.

  161. Additional Items: An ironing board, steam iron, hair dryer and 1 x porta cot are available for your use.

  162. ACCOMMODATION CHECKOUT:

  163. Furniture: Return all furniture to its original position (indoor and outdoor). No indoor furniture should remain outdoors overnight.

  164. .Dishes: Clean or place all dirty dishes in the dishwasher and start a normal cycle. The dishwasher is not for cleaning bulk wedding catering items.

  165. Rubbish: Place all rubbish in the bins behind the house or skip at the driveway’s base.

  166. Decorations and Hired Items: Remove all decorations, hired furniture, rubbish, and guest cars by check-out. Exceptions must be prearranged.

  167. Towels: Place used towels in the bathroom’s washing basket.

  168. Cold Room: Ensure the cold room is empty and turned off at the powerpoint.

  169. Doors and Windows: Shut all windows and lock all doors. Exit through the kitchen door and it will auto lock behind you.

  170. Damages: Notify us of any damage or breakages so we can address them promptly.

  171. CAMPING/GLAMPING/SWAGS/VEHICLES

  172. Strictly no camping, swags or glamping is allowed on the Estate Premises, no exceptions.

  173. Strictly no guests are permitted to sleep in any vehicles located on site during or after any event and must vacate the premises safely as per our curfew.

  174. Only guests permitted to stay overnight are those Guests staying in the accommodation.

  175. Your bond will be forfeited should additional persons remain on site, this includes anyone who has planned to camp in their car.

  176. PETS

  177. Pets are allowed to attend the ceremony only.

  178. Pets must arrive no earlier than 1 hours prior to ceremony and must depart the property by sundown at the latest. It is recommended to use a Pet Wedding Assistant to escort and manage pets.

  179. Under no circumstances are pets allowed inside the building unless during an indoor ceremony. In this instance, the pet will not be permitted in the left wing of the property.

  180. Pets must be on a leash at all times and are the responsibility of the owner.

  181. Pet waste is to be cleaned up immediately.

  182. The Estate is not fenced for domestic animals and the Estate accepts no liability for the safety or well being of any pets.

  183. Pets are strictly not permitted to remain in parked cars onsite or in the car park during the event.

  184. WATERHOLES

  185. There is a dam on the Estate Premises, located well away from the function facility and accommodation.

  186. The dam is inside an electric fenced paddock, where cows may also be present. The Estate cannot be held responsible for any accident.

  187. Children must be supervised at all times.

  188. PHOTOGRAPHY

  189. Often, photographers share their full photo galleries with us, and we use some of these photos to inspire future couples through our website and social channels. If there are any images you’d prefer not to be included in our gallery or on social media, please let us know.

  190. The Estate Staff may take photos and videos on your event day and share on socials.

  191. CIRCUMSTANCES BEYOND THE CONTROL OF THE ESTATE

  192. If the Estate is unable to provide the facilities or any other arrangements for your event or any part thereof, or to otherwise perform the terms of this agreement and the Estate's failure is due to circumstances beyond its decision or control, the Estate is not responsible for any costs, damages or expenses that you may suffer or incur.

  193. If the Estate Premises becomes unavailable due to unforeseen circumstances, you will be notified in writing and the Estate will endeavour to find you an alternate property elsewhere. Full monies will be refunded.

  194. CONDUCT OF THE EVENT

  195. Your event must be conducted in an orderly and lawful manner.

  196. The Estate may terminate your event at any point if the Estate reasonably believes that your event is not being conducted in an orderly and lawful manner.

  197. The Estate has no responsibility to you for any costs, damages or expenses that you may incur in relation to the Estate's termination of your event.

  198. The Estate may exclude or remove any persons or possessions from your event or from the Estate premises.

  199. This Estate practices principles of responsible service of alcohol. Intoxicated persons will not be served alcohol and may be removed from the premises.

  200. EXTERNAL SUPPLIERS

  201. Maroon Hill Estate is not responsible for the conduct or services from your external vendors or suppliers. All external vendors are required to have their own Public Liability Insurance.

  202. All vendors should be supplied a vendor meal from your caterer if they are staying for the duration of the evening, including the Venue Manager.

  203. ITEMS NOT COLLECTED

  204. Any items that have not been collected after the event will be disposed of within seven (7) days.

  205. THE ESTATE WAIVERS RESPONSIBILITY FOR:

  206. Theft, damage or loss of any goods brought onto the Estate Premises.

  207. Any introduction of food to the event and the effect of thereafter.

  208. LOSS AND DAMAGE TO THE ESTATE PROPERTY

  209. You are responsible for all loss and damage to the property of the Estate (including the Estate Premises and any fixtures, furnishings or goods on or off the Estate) caused by or arising from any act or omission by you, your guests, vendors or any other persons attending your event or present in the Estate house.

  210. SUBSTITUTION OF CEREMONY OR RECEPTION LOCATION

  211. The Estate may assign you to another area on the property for your event in the event that the area originally designated for your event is unavailable for any reason or the Estate believes the area of the Estate originally designated for your event is deemed inappropriate. This is highly unlikely and will be communicated well in advance.

Please read these Terms &Conditions carefully. If you do not understand any of the Terms & Conditions or have any questions, please discuss them with the Estate.

In filling out the Booking Form and paying the booking deposit, these Terms & Conditions are binding upon the Guest.
